Information We Collect
We collect information you provide directly to us when you:
- Create an account (name, email address, password)
- Upload audio files for transcription
- Use our transcription, translation, and punctuation services
- Configure API keys (encrypted and stored securely)
- Subscribe to paid plans (payment information processed by Stripe)

How We Use Your Information
- To provide and maintain our transcription services
- To process your audio files and generate transcriptions
- To provide translation and punctuation enhancement features

Third-Party Services
We use the following third-party services to provide our functionality:
- Abacus.AI: For translation and punctuation enhancement. Your transcription text is sent to Abacus.AI when you use these features. View their privacy policy.
- Stripe: For payment processing. We do not store your payment card details. View their privacy policy.
- AWS S3: For secure cloud storage of audio files with encryption at rest.
Data Security
We implement industry-standard security measures to protect your personal information:
- Passwords are hashed using bcrypt before storage
- API keys are encrypted using AES-256-GCM encryption
- Audio files are encrypted at rest using AWS S3 server-side encryption
- All data transmission uses HTTPS/TLS encryption
- Database access is protected by authentication and secure connections
Data Retention
We retain your data according to the following schedule:
- Audio files: Automatically deleted after 24 hours for privacy protection, unless you choose to save them. You have full control to save audio files permanently or let them auto-delete. An automated cleanup process runs every 12 hours to remove expired files.
- Transcriptions: Retained until you manually delete them or close your account
- Account information: Retained until you request account deletion
- Usage data: Retained for billing and service improvement purposes
Your Rights (GDPR & CCPA)
You have the following rights regarding your personal data:
- Right to Access: View all data we have about you
- Right to Portability: Download your data in JSON format (Settings → Export Your Data)
- Right to Deletion: Delete your account and all associated data (Settings → Delete Account)
- Right to Rectification: Update your account information at any time
- Right to Opt-Out: Manage cookie preferences via the cookie consent banner
California Residents (CCPA)
We Do NOT Sell Your Personal Information
AudiScribe does not sell, rent, or share your personal information with third parties for monetary or other valuable consideration. We have never sold personal information in the past and have no plans to do so in the future.
Your California Privacy Rights Include:
- Right to Know: You can request information about what personal data we collect, use, and share
- Right to Delete: You can request deletion of your personal information (available in Settings)
- Right to Opt-Out: You have the right to opt-out of the sale of personal information (not applicable as we don't sell data)
- Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights

Data Breach Notification
In the unlikely event of a data breach affecting your personal information, we will notify you within 72 hours via email to the address associated with your account and/or through a prominent notice on our service. The notification will include details about the nature of the breach, the data affected, and steps we're taking to address it.
International Data Transfers
Your personal information may be transferred to and processed in the United States and other countries where our service providers operate. These countries may have different data protection laws than your country of residence.
We ensure that your data is protected during international transfers by:
- Using encryption for data at rest and in transit
- Working only with service providers that maintain strong security standards (AWS, Stripe, Abacus.AI)
- Implementing contractual protections where required

By using our service, you consent to the transfer of your information to the United States and other countries as necessary to provide the service.
Data Retention After Account Deletion
When you delete your account, all of your personal data, transcriptions, and audio files are immediately removed from our active systems. However, some data may remain in encrypted backups for up to 90 days for disaster recovery purposes, after which it is permanently and irreversibly deleted. We cannot restore data from backups once an account is deleted.
Cookies and Tracking
We use the following types of cookies:
- Essential Cookies: Required for authentication and basic site functionality
- Preference Cookies: Remember your language and theme preferences (optional)
You can manage cookie preferences through the consent banner that appears on your first visit.
Children's Privacy
Our services are not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.
